This policy explains what the Van Praag AI Bookkeeping Agent ("the product," "we," "us") does with your data when you connect QuickBooks and/or Gmail to your account. It applies specifically to this product, offered by Van Praag AI Agency, and not to the rest of vanpraag.ai's services.
We are a small agency, not a large software company. This policy describes, honestly and in plain language, what we actually do — nothing more, and we haven't claimed anything we can't back up.
What we access, and why
QuickBooks Online. Once you connect your QuickBooks company, we read your transactions and ledger data (invoices, expenses, accounts, balances) through Intuit's official API, using the access you explicitly grant during Intuit's own sign-in and authorization screen. We use this to generate bookkeeping alerts (for example: missing or incomplete entries, unusual transactions) and, where you've approved it, to help prepare entries for your review.
Gmail. If you connect Gmail, we request read-only
access to your inbox (the gmail.readonly scope — we cannot send mail as
you, delete your mail, or change your mail settings). We use this to find financial
email — donation confirmations, bills, bank notices — that's relevant to your
bookkeeping, so the agent can generate accurate alerts and, where applicable, prepare
QuickBooks entries from what it finds. We do not read or use email that isn't financial
in nature, and the agent does not act on your real books without the review step
described in the product's own terms where one applies.
We only request the access we actually use. We do not request Gmail "send" access — outgoing mail this product sends (like order confirmations) goes through Van Praag's own mail sending system, never through your personal Gmail account. We do not request broader QuickBooks or Gmail permissions than the features above need.
How your data is stored and protected
The access tokens QuickBooks and Google issue when you connect are stored in our database (Cloudflare D1), tied to your order/account record. These tokens are not visible to other clients, are never published, and are never sold, rented, or shared with any third party outside of the APIs they were issued for (Intuit's QuickBooks API and Google's Gmail API) and the infrastructure providers we run on (Cloudflare, for hosting and storage).
We do not currently publish a formal security certification (such as SOC 2) for this product — we're an early-stage product built by a small agency, and we say so plainly rather than imply something we haven't earned. We do apply reasonable technical safeguards appropriate to our size and stage, and we are continuing to improve them as the product grows.
What we don't do
- We don't sell your data, your financial information, or your email content to anyone.
- We don't use your QuickBooks or Gmail data to train AI models beyond what's needed to run the product's own alerts and features for you.
- We don't share your data with other clients, other shluchim, or anyone outside your own account.
- We don't access anything beyond what the specific permission you granted allows.
Disconnecting your accounts
You can disconnect QuickBooks and/or Gmail access from the product at any time. Once disconnected, we stop reading new data from that account, and you can also revoke access directly from Intuit's or Google's own account settings at any time, independent of us (Google: myaccount.google.com/permissions; Intuit: your QuickBooks company's Connected Apps settings). If you'd like your stored data deleted after disconnecting, contact us and we'll take care of it.
Your rights
You can ask us at any time what data we hold about you, ask us to correct it, or ask us to delete it. Contact us using the details below and we'll respond personally — this is a small operation, so you'll be talking to an actual person, not a support queue.
Children
This product is a business tool for Chabad shluchim managing their organization's bookkeeping. It isn't directed at children and we don't knowingly collect data from anyone under 18.
Changes to this policy
If this policy changes in a way that matters — what we access, how we store it, or who we share it with — we'll update this page and note the date above, and for significant changes we'll try to let connected users know directly.
